Privacy Policy

This Privacy Policy explains how Prime Business Network (Pvt) Ltd collects, uses, stores, and protects your personal and business information when you apply for membership, use our Digital Platform, or participate in PBN activities.

Article 01

Who We Are

Prime Business Network (Pvt) Ltd ("PBN", "we", "us", or "our") is a private limited liability company incorporated in Sri Lanka under the Companies Act No. 7 of 2007. PBN operates Asia's No. 1 technology-driven Business Growth Ecosystem — a structured, AI-powered platform enabling ambitious entrepreneurs and business leaders to CREATE BUSINESS TOGETHER.

PBN's Digital Platform is developed and maintained by Hashnate Software Engineering under the direction of PBN's Platform Manager.

Article 02

Scope & Acceptance

This Privacy Policy applies to all persons who:

  • Submit a membership application to PBN (via our website, Digital Platform, or any other channel);
  • Are admitted as Charter Members, Standard Members, Founders Club Members, Associate Members, or Corporate Seat holders;
  • Participate in PBN events, Monthly Power Networking Forums, the CEO Forum, or Podcast Platform;
  • Use the PBN Digital Platform including the AI-Based Matchmaking System, ROI Dashboard, Business Opportunity Notice Board, Leaderboard, and Member Exclusive Marketplace;
  • Hold or use the Prime Privilege Card; or
  • Interact with PBN as a partner, sponsor, or service provider.
Mandatory Acceptance: As required under Article 7.5 of PBN's Bylaws, all applicants must read and accept this Privacy Policy as part of the registration process on the Digital Platform. Acceptance is mandatory and is recorded digitally. By checking the consent box on our application form, you confirm that you have read, understood, and agree to this Privacy Policy in full.

Participation in the AI-Based Matchmaking System is conditional on acceptance of this Privacy Policy (PBN Bylaws, Article 10.4). Members may adjust their matching preferences through the Digital Platform at any time.

Article 03

Data We Collect

We collect the following categories of personal and business data:

We collect data only to the extent necessary for the purposes set out in this Policy. We do not collect special categories of sensitive personal data (e.g., health data, racial/ethnic origin) unless strictly required for a specific purpose and with your explicit consent.

Article 04

How We Use Your Data

PBN uses your data for the following purposes:

  • Membership Administration: Processing your application, conducting the member selection and vetting process (Article 7 of PBN Bylaws), managing your membership account, renewals, and correspondence.
  • Digital Platform Operations: Operating the AI-Based Matchmaking System, ROI Dashboard, Business Opportunity Notice Board, Member Exclusive Marketplace, and Leaderboard.
  • Business Creation Facilitation: Sharing your professional profile and industry information with other PBN members to facilitate introductions and business opportunities. This is a core and essential purpose of PBN membership.
  • AI-Based Matchmaking: Processing your member profile, industry, business needs, historical activity, and stated objectives to generate match suggestions. See Section 5 for full details.
  • Value Verification: Reviewing submitted evidence (invoices, contracts) to verify business value generated for Silver, Gold, and Platinum Member status.
  • Events: Managing registration, attendance, and communications for Monthly Power Networking Forums, social nights, business tours, Annual Conference, and CEO Forum events.
  • Privilege Card: Issuing and administering the Prime Privilege Card and the partner network.
  • Marketing & Communications: Sending member newsletters, platform updates, event invitations, and co-branded marketing materials (Charter Members). You may opt out of non-essential marketing at any time by contacting us.
  • Governance: Recording and administering Charter Member voting rights on chapter-level governance matters.
  • Podcast Platform: Publishing content, distributing recordings, and administering sponsorship arrangements.
  • Legal & Compliance: Complying with applicable Sri Lankan laws and regulations, enforcing PBN's Bylaws, and managing disputes.
  • Security & Fraud Prevention: Monitoring for misuse of the platform, Leaderboard manipulation, and other conduct prohibited under Article 15 of the Bylaws.
Article 05

AI-Based Matchmaking System

PBN's AI-Based Matchmaking System is a core feature of the Digital Platform (as defined in Article 10 of the PBN Bylaws). It uses artificial intelligence to enhance business creation between members. This section provides specific transparency about how your data is used by this system.

What data does the AI process?

  • Your industry category and business profile;
  • Historical business creation activity recorded on the Platform;
  • Your interactions with the Business Opportunity Notice Board;
  • Stated business objectives and target sectors (from your member profile);
  • Leaderboard performance data and Value Score.

What does the AI produce?

  • Member-to-Member Match Suggestions: Identifying the most compatible members across chapters and clubs for partnership, collaboration, or deal opportunities.
  • Partnership Strategy Suggestions: Suggested partnership structures and collaboration frameworks tailored to matched members' profiles.
  • Deal Opportunity Alerts: Notifications of relevant business creation opportunities across the ecosystem.
  • Business Opportunity Notice Board Surfacing: Automatically surfacing relevant Notice Board requests to members whose profile matches the stated need.
  • Forum Preparation: Before each Monthly Power Networking Forum, personalised match suggestions for attending members.
No automated decision-making with legal effect: The AI-Based Matchmaking System produces suggestions only. No automated decision that has a legal or similarly significant effect on you is made by the AI system alone. All final business decisions remain with the relevant human members. PBN shall not be liable for commercial decisions made by members in reliance on AI-generated match suggestions (PBN Bylaws, Article 10.5).

Consent and control: Participation in the AI-Based Matchmaking System is conditional on your acceptance of this Privacy Policy. You may adjust your matching preferences and visibility through your settings on the Digital Platform at any time.

Platform development: The AI-Based Matchmaking System is developed and maintained by Hashnate Software Engineering under the direction of the Platform Manager. Major updates to the core matching algorithms are approved by the PBN Board of Directors.

Article 06

Legal Basis for Processing

PBN processes your personal data on the following legal bases:

Legitimate Interests Operating and improving the Digital Platform and AI Matchmaking System; maintaining the Leaderboard; fraud detection and platform security; sending member communications and updates; administering Horizontal Clubs and CEO Forum.
Consent Participation in the AI-Based Matchmaking System; co-branded marketing use of your logo; Podcast Platform participation; any processing not covered by the above bases. You may withdraw consent at any time without affecting the lawfulness of prior processing.
Legal Obligation Complying with applicable Sri Lankan law, regulatory requirements, and any lawful orders of Sri Lankan courts or authorities.
Article 07

Data Sharing & Disclosure

PBN does not sell your personal data to third parties. We share your data only in the following circumstances:

Within the PBN Ecosystem (Members):

Your professional profile — including name, business name, industry category, and contact details — is shared with other PBN members for the purpose of facilitating business creation. This is the core purpose of PBN membership and is consented to at the time of application. Sharing of detailed business creation data (invoices, contracts) is limited to the Platform Manager and VP of Operations for verification purposes only.

Service Providers:

We engage trusted third-party service providers who process data on our behalf under strict data processing agreements, including:

  • Hashnate Software Engineering — Digital Platform development and maintenance;
  • Payment processing providers (for membership fee collection);
  • Email and communication platform providers;
  • Cloud hosting and data storage providers;
  • Event management platforms.

All service providers are contractually bound to process data only as instructed by PBN and to maintain appropriate security measures.

Privilege Card Partners:

Where you redeem Privilege Card benefits, your member status (not full personal data) is confirmed to the relevant partner. Partners enter into a separate Partner Agreement with PBN governing data use.

Legal Requirements:

We may disclose data where required by applicable Sri Lankan law, regulatory authority, or a lawful court order. We will notify you where legally permissible before making such disclosure.

Podcast Platform:

Content you contribute to the Podcast Platform is published across PBN's channels and third-party podcast platforms. By participating, you grant PBN a perpetual, royalty-free licence for use and distribution of your contributed content (PBN Bylaws, Article 20.4).

Business Transfers:

In the event of a merger, acquisition, or sale of substantially all assets of PBN, member data may be transferred to the successor entity subject to the same protections as this Policy.

No data sales: PBN does not sell, rent, or trade your personal data to any third party for their own marketing or commercial purposes. Member data is not disclosed without consent, except as required by law or for facilitating business creation between members (PBN Bylaws, Article 12.6).
Article 08

Data Retention

We retain your personal data for as long as necessary for the purposes set out in this Policy, and in accordance with the following principles:

Founding Member Wall Founding Wall recognition is permanent; underlying personal data retained per active member rules

Upon expiry of the retention period, data is securely deleted or anonymised. Where deletion is not possible due to legal or technical constraints, we restrict processing of the data until deletion is achievable.

Article 09

Data Security

PBN and Hashnate Software Engineering implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction, or disclosure. These measures include:

  • Encryption of data in transit (TLS/SSL) and at rest;
  • Role-based access controls — only authorised PBN staff and platform administrators can access member data;
  • Regular security assessments and platform maintenance;
  • Scheduled maintenance communicated at least 24 hours in advance (PBN Bylaws, Article 12.7);
  • Secure payment processing via certified third-party payment gateways (PBN does not store full payment card details);
  • Contractual data security obligations imposed on all service providers.
Despite these measures, no digital platform is completely immune from security risks. In the event of a data breach that is likely to result in a risk to your rights and freedoms, PBN will notify you without undue delay and take all reasonable steps to mitigate harm.
Article 10

Your Rights

Subject to applicable Sri Lankan data protection law, you have the following rights in relation to your personal data:

Right of Access Request a copy of the personal data PBN holds about you.
Right of Rectification Request correction of inaccurate or incomplete personal data.
Right of Erasure Request deletion of your personal data where it is no longer necessary for the purposes for which it was collected, subject to our legal obligations and legitimate interests.
Right to Restrict Processing Request that we limit processing of your data in certain circumstances.
Right to Object Object to processing based on legitimate interests (including direct marketing).
Right to Withdraw Consent Withdraw consent at any time for processing activities based on consent (e.g., AI Matchmaking preferences, podcast participation). Withdrawal does not affect lawfulness of prior processing.
Right to Data Portability Receive your personal data in a structured, commonly used, machine-readable format where technically feasible.
Right Not to Be Subject to Automated Decisions PBN's AI system produces suggestions only — no automated decision with legal or significant effect is made without human review.

To exercise any of these rights, please contact us at info@primebusiness.network. We will respond within 30 days of receipt of your request. We may need to verify your identity before processing your request.

Please note that certain rights may be limited where processing is required for the performance of our contract with you (e.g., sharing your professional profile with members is a core membership function and cannot be restricted while you remain a member), or where we have a legal obligation to retain data.

Article 11

Cookies & Platform Tracking

The PBN website and Digital Platform use cookies and similar tracking technologies to:

  • Keep you logged in to your member account (essential cookies);
  • Remember your preferences and settings on the Platform;
  • Analyse platform usage and improve our services (analytics cookies);
  • Monitor platform security and detect suspicious activity.

Essential cookies are necessary for the Platform to function and cannot be disabled. Analytics cookies are only set with your consent. You may manage your cookie preferences through your browser settings at any time.

PBN does not use advertising cookies or share cookie data with third-party advertisers. PBN products are ad-free.

Article 12

Third-Party Links

The PBN website and Digital Platform may contain links to third-party websites and services (including Privilege Card partner websites, professional body partner websites, and podcast platform links). PBN is not responsible for the privacy practices or content of these third-party sites. We encourage you to review the privacy policies of any third-party sites you visit.

Transactions conducted through the Member Exclusive Marketplace or arising from Business Opportunity Notice Board interactions are between the relevant members directly. PBN is not a party to any such transaction and is not responsible for how transacting parties handle your data during the course of those transactions (PBN Bylaws, Article 14.5).

Article 13

Children's Privacy

PBN is a business membership organisation and our services are directed exclusively at business professionals and entrepreneurs. We do not knowingly collect personal data from individuals under the age of 18. All applicants must be adults operating a legitimate business in their own right.

If you believe we have inadvertently collected data from a minor, please contact us immediately at info@primebusiness.network and we will take immediate steps to delete such data.

Article 14

Changes to This Policy

PBN may update this Privacy Policy from time to time to reflect changes in our practices, the Digital Platform, applicable law, or PBN Bylaws. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page;
  • Notify active members via the Digital Platform and/or email at least 14 days before the changes take effect;
  • Where required by applicable law, seek your consent for new processing activities.

We encourage you to review this Privacy Policy periodically. Your continued use of the Digital Platform and PBN services after the effective date of any changes constitutes your acceptance of the updated Policy.

We will acknowledge your request within 5 business days and respond in full within 30 days. If you are not satisfied with our response, you have the right to escalate to the relevant regulatory authority in Sri Lanka.

Governing Law: This Privacy Policy is governed by and construed in accordance with the laws of Sri Lanka. Any disputes arising in connection with this Privacy Policy that cannot be resolved through our internal process are subject to the exclusive jurisdiction of the courts of Sri Lanka (PBN Bylaws, Article 30).
